Consistent business details online: a NAP checklist for AI

Name, address and phone number the same everywhere: that is NAP consistency. Why AI assistants care and a checklist to get your directory listings in order.

Consistent business details means that your name, address and phone number are exactly the same everywhere online. This is called NAP consistency (Name, Address, Phone). AI assistants such as ChatGPT, Gemini, Perplexity and Claude pull information about your business from many different sources. When those sources agree, the models trust the details and find it easier to mention you. When they contradict each other, the model hesitates.

Why NAP consistency matters for AI

A language model builds a picture of your business from your website, your Google Business Profile, business directories, industry directories, review sites and social media. If one place shows an old address and another shows a new one, the model does not know which is right. As a result it may not mention you, or it may give wrong information.

Consistent details help AI recognise your business as one clear entity. They are also a signal of trust: a business that has its affairs in order.

What counts as business details?

NAP is the core, but there is more:

  • Name. Exactly the same spelling, including with or without "Ltd" or a place name.
  • Address. Street, house number, suffix, postcode and town in the same format.
  • Phone number. The same number, ideally in the same format.
  • Website. The same URL, with or without www, and always https.
  • Opening hours. Including public holidays and closures.
  • Description and category. What you do, in similar words.
  • Service area. Which towns or regions you serve.

Where are your details listed?

Your business is probably listed in more places than you think. For example:

  1. Your own website, including the footer, contact page and structured data.
  2. Your Google Business Profile.
  3. Bing Places and Apple Business Connect.
  4. General business directories and local directories.
  5. Industry directories and trade association websites.
  6. Review sites and comparison sites.
  7. Social media: LinkedIn, Facebook, Instagram.
  8. The official company register (in the Netherlands, the KvK).
  9. Mentions in local media and on partners' websites.

A plumber in Zwolle, for example, appears in his business profile, in two trade directories, on a review site and on the website of the wholesaler he works with. AI can read all of those places.

Checklist: your details in order in five steps

Step 1: write down your official details.
Record once exactly how your name, address, phone number, website and opening hours should read. This is your reference. Use it everywhere.

Step 2: find your existing listings.
Search for your business name, your phone number and your address. Also search for old names or old addresses if you have moved or rebranded. Make a list of every place.

Step 3: correct what is wrong.
Log in where you have an account and update the details. Directories without an account usually let you submit a change request. Start with the most important ones: your website, Google Business Profile, Bing Places and the largest directories in your sector.

Step 4: remove or merge duplicate listings.
Duplicate profiles with different details cause confusion. Ask the platform to merge or remove them.

Step 5: fill the gaps.
Missing from an important industry directory? Sign up. Listings in relevant directories are often also sources AI cites.

Structured data on your website

Put your NAP in structured data as well (schema.org, type LocalBusiness or Organization). That puts your details in a fixed format that search engines and AI can read directly. With the sameAs property you point to your official profiles elsewhere. You will find an example in structured data for LocalBusiness. Make sure the details in the code match exactly what visitors see on the page.

After a move or a name change

This is where things often go wrong. Old details stay online for a long time, and AI may keep using them. Update all listings at the same time. Add a short line to your website such as "Since 2026 we have been based at Hoofdstraat 10". That helps AI link the old and new situation. Notice that AI still mentions old details? Frequently asked questions

Does it really have to be identical?
Small differences, such as "Street" or "St.", are usually not a problem. But the more consistent, the better. Different phone numbers or addresses are a problem.

How often should I check this?
Once a quarter is a good rhythm. Directories sometimes copy old details from other sources automatically.

Do I have NAP without a fixed address?
Yes. If you work at customers' homes, your name, phone number, website and service area are your key details. See also service area pages per town.
