HaverCo (Chamber of Commerce (CoC) 58136487, Mercuriusweg 118, 2516AW The Hague) is responsible for processing personal data as described in this policy. Questions? Email hello@hellogeolabs.com.
1. What data we process
- Account: name, email address, password (stored only in encrypted form), language preference and your alert settings.
- Company and billing details: company name, address, country, CoC and VAT number and billing email address.
- What you enter yourself: websites, city, industry, country and language, competitors and questions (prompts). If you use reports with your own logo, also the name, website and logo of your agency.
- Measurement results: the answers of AI models to your questions, the sources they cite, the sentiment and the scores and advice we derive from them.
- Public website content: for the website check, the source analysis and the question suggestions we read public pages of your website and of websites that AI cites as a source. We follow the robots.txt file of those websites.
- Payments: plan, invoices and payment status. We do not receive your card or account details; Stripe processes those.
- Contact form and waiting list: name, email address, company, website, country and your message.
- Free tools: the website address you enter. You do not need an account for this.
- Technical data: IP address and time when logging in, using forms and the free tools, to prevent misuse.
2. Purposes and legal bases
- Providing your account, the free check, your subscription and its features: performance of the contract.
- Keeping invoices: legal obligation (7-year tax retention requirement).
- Security, captcha, limits and blocking login attempts: legitimate interest.
- Replying to your message and keeping you informed via the waiting list: consent, which you give in the form and can withdraw at any time.
- Alerts about your visibility and the monthly progress summary: performance of the contract. You set or switch them off in your account.
- Two follow-up emails after your free check (a tip and a competitor comparison): part of the free check, which you agree to when requesting it. You can always unsubscribe via the link in the email.
- Improving the service with general, anonymised figures: legitimate interest.
We do not use your data for advertising, do not place advertising cookies and never sell data. We do not take decisions about you based solely on automated processing.
3. Who else receives your data
| Party | Purpose | Location |
|---|---|---|
| Xynta | Hosting of website and database, sending email | Netherlands |
| Stripe | Payments, subscriptions and invoices | EU / US |
| OpenAI | Measurements in ChatGPT, and creating question suggestions, summaries, sentiment and advice | US |
| Measurements in Gemini | US | |
| Anthropic | Measurements in Claude | US |
| Perplexity | Measurements in Perplexity | US |
We send the AI providers your questions and, for the extra features, company details such as the name of your organisation, industry, city, competitors, public content of your website and excerpts from AI answers. Your name, email address and payment details are never sent to them. We use their business APIs; according to their business terms, they do not use this data to train their models.
For transfers to the US, the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses apply.
If you create a shareable link, anyone with that link can view your results. If you use reports with your own logo, your agency name and logo appear on those reports and shared dashboards.
4. How long we keep data
- Account and measurement results: as long as your account exists. After your subscription ends, we keep measurements for another 90 days so that you can come back. After that we delete them.
- Websites for which a free check was done: we remember the website address, so that the check remains once per website.
- Invoices: 7 years.
- Contact messages: we receive them by email and keep them as long as needed to handle your question, up to 1 year.
- Waiting list sign-ups (for other languages): until the service is available in your language, or until you ask to be removed.
- Fetched website content for question suggestions: 7 days.
- Security data, such as login attempts and limits: no more than 30 days.
If you delete your account, we erase your data from the active systems immediately, except invoices. It may remain in backups for up to 30 days.
5. Cookies
We use necessary cookies: to keep you logged in, protect forms and remember your cookie choice. We only place Google Analytics statistics cookies with your consent. Google then processes that data as our processor; IP addresses are not stored, and data may be processed in the United States under the EU-US Data Privacy Framework. We do not use marketing cookies. Which cookies we use and how to change your choice is described in the cookie policy.
6. Security
The site runs on a server of our hosting provider in the Netherlands, with an encrypted connection (HTTPS). Passwords are stored encrypted, an account is temporarily locked after repeated failed login attempts, we limit the number of requests per user and regular backups are made. Only those who need it for the service have access to your data.
7. Your rights
You may access, correct or delete your data, restrict processing, object and have your data transferred. You can change most of your details yourself under Account, download all your data yourself under Account ("Download my data", on every plan) and delete your account yourself. For anything else, email hello@hellogeolabs.com; we respond within one month. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
8. Data of others
If you put names or data of others in your account, for example of clients as an agency, we process them on your behalf. The data processing agreement applies to this. Do not put sensitive personal data in questions; it is not needed for the measurements either.
9. Changes
If we change this policy significantly, we will let you know by email. At the top of this page you can see when it was last updated.
